Human Resources Coordinator

Position Summary
We are seeking a detail-oriented and organized Human Resources Coordinator to oversee front office operations while supporting the company’s human resources, payroll administration, employee onboarding, immigration documentation, and general administrative functions. This position serves as the first point of contact for employees, visitors, and external partners, ensuring efficient office operations and exceptional employee experience.


Key Responsibilities

Human Resources

  • Coordinate onboarding processes.
  • Prepare new hire documentation and maintain employee personnel files.
  • Conduct new employee orientation and ensure completion of onboarding requirements.
  • Maintain confidential employee records in compliance with company policies and employment laws.
  • Assist with employee benefits administration and HR compliance initiatives.

 

Payroll & Tax Administration

  • Maintain payroll records and support payroll tax reporting and compliance.
  • Assist employees with payroll-related questions and resolve discrepancies.

 

Immigration & Employment Documentation

  • Coordinate employment authorization and immigration documentation.
  • Maintain compliance with employment eligibility verification requirements (Form I-9).
  • Track visa documentation, renewal dates, and other immigration-related records when applicable.
  • Liaise with legal counsel and government agencies as needed.
 

Front Office & Administrative Support

  • Manage daily front office operations and provide exceptional customer service.
  • Answer and direct inbound telephone calls professionally.
  • Place outbound calls to employees, applicants, customers, vendors, and government agencies as needed.
  • Welcome visitors and maintain a professional reception area.
  • Receive, sort, distribute, and reroute incoming mail, packages, and deliveries.
  • Prepare and send outgoing mail, courier shipments, and overnight packages.
  • Coordinate office supplies and general administrative support.
 

Employee Support

  • Respond to employee inquiries regarding HR policies and procedures.
  • Assist managers with employee documentation and personnel requests.
  • Support employee engagement activities, meetings, and company events.
  • Maintain confidentiality when handling sensitive employee information.
 

Compliance & Reporting

  • Ensure compliance with federal, state, and company employment policies.
  • Maintain accurate HR records and prepare periodic reports.
  • Support audits related to payroll, employment, and personnel documentation.


Qualifications

  • Associate or bachelor’s degree in human resources, Business Administration, or a related field preferred.
  • 2–5 years of experience in Human Resources or office administration.
  • Experience with payroll processing and payroll tax administration preferred.
  • Knowledge of employee onboarding and HR compliance requirements.
  • Familiarity with employment authorization and immigration documentation is a plus.
  • Excellent communication, customer service, and organizational skills.
  • Proficiency in Microsoft Office and HRIS/payroll systems.
  • Ability to manage multiple priorities while maintaining confidentiality.

Design each piece of the application or system and plan how the pieces will work together. Create a variety of models and diagrams (such as flowcharts) that instruct programmers how to write the software code.
